We are seeking a detail-oriented and organized Administrative Assistant/Data Entry Associate to support our operations in managing transportation, dock assignments, communication with quarriers, and handling essential administrative tasks. The successful candidate will play a vital role in ensuring efficient operations and effective communication within the company.

Key Responsibilities:
- Communicate with transporters to coordinate delivery schedules and transportation logistics.
- Assign trailers to appropriate docks based on shipping and receiving needs.
- Answer phone calls and respond to inquiries promptly and professionally.
- Interface with quarriers to manage delivery schedules and coordinate the receipt of packages.
- Perform accurate and efficient data entry tasks, including inputting transportation data, dock assignments, and other related information into databases or software systems.
- Maintain and update records related to transportation, deliveries, and dock assignments.
- Generate reports and documents related to production, transportation, and dock assignments using tools such as Microsoft Excel and other Office software.
- Organize and maintain a repository of documents for easy access and reference.
- Demonstrate strong attention to detail in all tasks, ensuring accuracy and precision in data entry, document creation, and communication.
- Utilize Microsoft Excel proficiently to manage and analyze data, create spreadsheets, and generate reports.
Qualifications:
- Education: High school diploma or equivalent. Additional certification in office administration or data entry is a plus.
- Experience:
- Previous experience in data entry, administrative support, or a related field is desirable.
- Familiarity with transportation management and logistics is a plus.
- Skills:
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
- Excellent communication skills and ability to interact effectively with colleagues, vendors, and transporters.
- Strong organizational and multitasking abilities to handle various responsibilities simultaneously.
- Ability to work independently and as part of a team, with a proactive and positive approach to problem-solving.
